Client Services Specialist / Office Director of First Impressions

We are seeking a team member to join our growing, client-focused, high-touch financial services firm in our Mandeville office. Our ideal candidate will possess a strong willingness to help others with an exceptional attitude, a nurturing and outgoing personality, and a professional image for a memorable and welcoming first impression.  Also, must have outstanding communication skills and a passion for delivering an exceptional client service experience.

Objective

The employee in this position is responsible for providing an exceptional client service experience to the firm’s prospects and clients and ensures smooth day-to-day operations of the Mandeville office. The employee will also assist Advisors in client visits and client paperwork processing. In addition to assisting other team members, the employee assists with Mandeville workshops/events and collaborates with Client Services at Headquarters (Metairie).

Job Duties

DAILY TASKS INCLUDE, BUT ARE NOT LIMITED TO:

  • Welcome and nurture clients, prospects, and visitors to the office for an exceptional experience
  • Present guests with available beverages and snacks upon arrival
  • Answer the phones in a friendly, warm manner
  • Record notes from every client conversation (phone, email, visit, etc.) in the Salesforce CRM database…the priority is service to clients
  • Assist the Advisors with new business processing, fax confirmations & follow-up phone calls to appropriate companies, as needed
  • Pull client files and assist with copying, scanning, and/or printing as needed by Advisors
  • Set appointments, meetings and conference calls as needed
  • Sort and distribute incoming mail and mail outgoing correspondence
  • Run office errands as needed
  • Clean the office as needed

MONTHLY

  • Assist marketing coordinator with any outgoing mail and workshop preparation for the Mandeville area
  • Proactively manage office supplies once a month

Minimum Requirements 

  • An exceptional attitude, a nurturing and outgoing personality, and a professional image for a memorable and welcoming first impression
  • Bachelor’s or Associate degree in office administration, management, or related field preferred
  • 2+ years working in banking, office admin or hospitality management preferred
