Appointment Scheduler

Gregory Ricks & Associates, Inc. - Metairie Office

We are seeking a team member to join our growing, client-focused, financial services firm in the Metairie office. Our ideal candidate must exhibit exceptional time management skills, a proven record of getting prospects/clients engaged over the phone, accept direction, be customer service oriented, and be skilled with technology.

Objective

The primary responsibility of the employee in this position is to help grow the sales pipeline by coordinating multiple schedules and filling the calendars of our wealth advisors.  They are go-getters who are strong at using persuasive language, asking in-depth questions, and getting our prospects engaged. They engage prospects after they have shown interest from one of the many company marketing funnels which could include informational workshop/seminar, radio show, website, etc. This position will depend heavily upon a positive attitude, solid work ethic and the ability to build upon relationships over the phone. This role will overcome objectives in a professional, polite manner never making the prospect feel uncomfortable at any time. In addition to assisting other team members, the employee assists with Company workshops/events.

Job Duties

Duties include but are not limited to:

  • Calling, qualifying, and scheduling prospects
  • Confirming visits with prospects
  • The ability to fill the wealth advisors’ schedules with qualified appointments that are produced through marketing efforts
  • Having consistent follow-up with prospects
  • Entering notes of all contact into CRM (Salesforce) system from prospecting and marketing efforts
  • Attending and setting up seminars and workshops (in the evenings) and booking appointments at the conclusion of programs
  • Email prospects to schedule visits with a wealth advisor as needed
  • Working independently and proactively to meet business and department goals
  • Tracking weekly and monthly progress, including the number of calls made, appointments set, and 1st appointments kept with Marketing Director
  • Assisting team with administrative tasks, as needed
  • Performing other duties and projects as assigned

Minimum Requirements 

  • An exceptional attitude and a nurturing and outgoing personality
  • Associates degree in office administration, management, or related field preferred
  • 2+ years working in banking, office admin or hospitality management preferred
